Financial Operations Specialist - 241209-05/06
Our client is an agency specializes in leveraging influencer marketing strategies to captivate the Gen-Z audience.
They're looking for a highly detail-oriented Financial Operations Specialist to take charge of our invoicing, payments, and bookkeeping processes. You’ll play a critical role in keeping our financial operations running smoothly, supporting both internal stakeholders and external partners such as creators and clients. This role is perfect for someone who thrives in a fast-paced environment, is experienced with creator-driven businesses, and loves clean books, efficient systems, and timely payments.
Key Responsibilities
Invoicing & Accounts Receivable
Generate and send accurate invoices
Follow up on outstanding payments and manage overdue accounts
Ensure timely resolution of invoice-related issues
Accounts Payable
Collect tax and payment info (e.g., PayPal details, W-9 forms) from 30+ new creators weekly
Coordinate and prepare weekly payments (mainly via PayPal and banking platforms)
Maintain accurate and organized payment records
Bookkeeping & Financial Tracking
Maintain and reconcile records in QuickBooks Online
Categorize transactions properly (especially from PayPal and banking systems)
Collaborate with external bookkeepers when necessary
Keep books audit-ready and identify areas for potential tax deductions
General Financial Admin
Record day-to-day financial transactions and ensure they are posted to correct ledgers
Perform partial checks and complete monthly sales tax returns
Create reports and assist with monthly and year-end closings
Post journal entries and assist in preparing financial statements
Communicate with creators and clients to gather necessary information
Process Optimization
Identify and implement opportunities to automate payment and invoicing flows
Suggest and execute improvements to streamline financial operations
Ensure efficiency and compliance across tools like PayPal, QuickBooks Online, and Bill.com
Requirements
3+ years of experience in bookkeeping, financial coordination, or a similar role
Strong PayPal experience, including transaction reconciliation and payment processing
Proficient with QuickBooks Online (not the desktop version)
Familiarity with Bill.com or other payment/invoicing software
Experience managing multiple financial tasks on tight timelines
Bachelor’s degree in Finance, Accounting, or Business Administration
Solid understanding of bookkeeping principles and A/R and A/P workflows
Proficiency in English (written and verbal) and Microsoft Office
Strong attention to detail, accuracy, and independent work ethic
